Overview
This page discusses the responsibilities of hosts and co-hosts and how they work together to run meetings.
Roles
The two roles involved in running remote meetings are the host and the co-host. Explanations of each are below.
Host
The host reads from the script and facilitates the round-robin discussion. Their responsibilities include:
- Kicking off the meeting
- Introducing the speaker (in speaker meetings)
- Asking round-robin participants to share when it’s their turn
- Removing disruptive participants
- Closing the meeting
Co-host
The co-host lets users enter the meeting and keeps track of the round-robin list. Their responsibilities include:
- Opening the meeting room
- Creating and maintaining the round-robin list during the meeting
- Removing disruptive participants
Running a meeting
15 minutes before the meeting: Open the meeting room
All hosts and co-hosts should have access to the BSA LastPass, passwords for Google and Zoom can be found there. For security, please don’t share passwords over cleartext (including email, text messages, PDFs, and other documents).
The co-host should open the meeting 15 minutes before the meeting starts. It’s best that the co-host opens the room to make it easier to manage the list.
The co-host should change the host’s role to host when they join.
To make managing the list as easy as possible, the co-host should be the only person allowing users to enter.
If you’re the host and you see participants waiting to be let in, chances are the co-host isn’t ready to let them in yet or they’ve let them in already and there’s a delay within Zoom.
If many participants seem to be waiting in the waiting room for long periods of time, a friendly reminder to the co-host may be helpful.
There is two-factor authentication that may prevent some users from easily being able to sign into Zoom and start the meeting. Please try to join early to make sure you can access it, and reach out to other hosts/co-hosts if you have issues.
In the future, we’ll probably need a better process for handling authentication so users can access the Zoom account reliably.

Close the meeting
After the meeting ends, leave the Zoom room open for another 15 minutes for fellowship since getting to know each other outside our meetings can help support sobriety.
